Hello everyone! I need a little help in English. we use a CRM (leads management system "HubSpot") at the office and some of our team members were facing difficulties because they were working on multiple products/services and they were confused that which lead belongs to which service/product. so we have set up few codes for them, all those codes will appear with a lead name so our team will guess from code that this lead belongs to which product. I have to send them a formal email where I will tell them about this. Can someone tell me that this is correct or not? Thank you in advance.

Since many of our team members are working on multiple services and they were facing difficulties that the leads I have assigned them to belong to which service, So we tried to make things easier for you and we have set up few codes against our services so from that code you can see that the lead I have assigned you belongs to which service. For example:
if you see SMM with any lead name.. so it means this lead belongs to Social Media Marketing.
Let me know we need more information. and kindly acknowledge this email.

Looks fine to me. (Although you'll need to send out a list of codes too, not just an example.)
Maybe I'd consider replacing the, "difficulties that the leads I have assigned them to belong to which service", with, "difficulties matching the lead I assigned to the correct service"
And one doesn't capitalise after a comma. Did you mean to put a full stop ?
Leave out the "so" in "so it means".

Hi fatema, I am not quite sure I have understood what you are saying? Are you setting up codes for each project/service or codes for the leads? Anyway here's what I think you mean....

Just to emphasise that you should watch out for the ‘so’.
Its misuse as a non-meaning filler word is creeping into all levels of English, but will still mark you out as a careless user.
For example: so don’t do it (where you could use ‘therefore’ instead) is okay. So I come from London (where ‘so’ is totally redundant) is careless English.
