Perhaps the way to 'soften' them is to think about how you prefix or suffix them. For example, an appraisal meeting sounds more welcoming than an appraisal interview; a joint evaluation is better than a management evaluation etc.
Maybe it's just spin, but I think that it sends out a slightly different message. Good luck!
