I keep getting a pop-up saying there is a new version of Java ready for download. Is this a part of the computer set up, like Adobe, so should I allow the download take place. Thanks for any advice.

Generally Yes, and yes.

Although there is a fairly good chance that you don't need java installed at all, and although it's not malicious it does have a few security issues and if it's not absolutely required it's generally better to remove it all together.

If you remove it and suddenly find something you need stops working it's easy enough to install it again.

Java tends to be used by web sites.

You can generally install it with no problem

That'll be java in the browser, not the installed JRE, which will be requesting the update.

I've just booted up and was asked if I wanted to install the update for Java (I did so) but what does it actually do? laymen's terms please.... I only shuffle papers and look busy.

Java is one of the spanners in the Windows toolkit that helps make it all work nicely.

Well it is in many forms ...

It is also in the form of a plugin/addon for Firefox.
Not that it needs it normally.
